From RFQ to Lot Release: A Controlled Buying Process for Whole Cultivated Ophiocordyceps sinensis

Short answer: a controlled purchase moves through six documented gates: RFQ, quotation comparison, specification approval, sample or evidence review, purchase-order confirmation and lot release. Each gate should use the same product name, grade definition, packaging requirement and document list.

The six procurement gates

Gate Buyer output Do not proceed until
1. RFQ Destination, use, identity, grade, volume range, packaging and documents The supplier understands the complete request
2. Quotation review Side-by-side comparison using the same specification Price and lead-time assumptions are explicit
3. Specification freeze Approved revision with parameters, limits and methods Both parties reference the same version
4. Qualification Approved sample/evidence record and open-issue list Deviations are resolved in writing
5. Order confirmation PO referencing grade, specification revision, packaging and documents Commercial and technical terms match
6. Lot release Receipt or pre-shipment review against the agreed requirements The lot and documents are linked and acceptable

Build an RFQ that suppliers can answer accurately

  • Product: cultivated Ophiocordyceps sinensis, whole-form raw material.
  • Grade: selected from Premium, Grade I, Grade II or Broken Pieces, with required criteria.
  • Use and destination: stated for regulatory and document review, without assuming acceptance.
  • Quantity: realistic trial and forecast ranges, clearly marked as estimates where applicable.
  • Testing: parameters, methods, limits and whether third-party testing is requested.
  • Packaging: inner contact material, unit weight, labelling, carton protection and shipping conditions.
  • Documents: specification, lot-specific evidence and commercial/shipping records required.

Freeze the specification before issuing the purchase order

A photograph and a grade name are not a complete specification. Record the document title, revision number and approval date. If a requirement cannot yet be confirmed, label it as pending instead of implying agreement.

The PO should reference the approved product and packaging specifications, grade, quantity tolerance, required records, inspection terms and agreed handling of nonconformity. This creates a single comparison point when the lot is reviewed.

Use change notification to prevent silent substitutions

Ask the supplier to notify the buyer before material changes that may affect the agreed product. The exact notification list should be risk-based and contractual.

  • Scientific identity or declared material form
  • Cultivation, sorting or processing route
  • Grade criteria or test method
  • Packaging material, unit configuration or label
  • Manufacturing, packing or testing site
  • Third-party laboratory or document issuer

Notification does not mean automatic rejection. It gives the buyer an opportunity to assess whether requalification, updated documents or a new sample is necessary.

Pre-shipment and receipt review

  1. Match product, grade and lot codes across package labels, packing list and lot-specific records.
  2. Check package count, condition, closure and agreed transport protection.
  3. Compare reported results with the approved specification revision.
  4. Record any deviation and obtain a written disposition before use or resale.
  5. Retain the approval trail so the history and location of the lot can be reconstructed.

ISO 22005:2007 describes general principles and basic requirements for food-chain traceability systems. It treats traceability as a technical tool for determining a product's history or location; it does not by itself certify an individual supplier or lot.

Fast supplier-verification checks

  • Reconcile the legal name and address on quotations, invoices and supporting documents.
  • Confirm who cultivates, sorts, packs, tests, releases and exports the material.
  • Verify certificates or laboratory credentials with the issuer where applicable.
  • Ask how lot codes connect cultivation, packing, testing and shipment records.
  • Confirm how complaints, deviations and document corrections are handled.

Request a specification-based quotation

Send your destination, intended use, preferred grade, volume range, test requirements, packaging and required documents. Jian'an can review the request and identify confirmed items, open questions and any information needed before quotation.
